Ideal use

Medium to complex surveys where responses can be sent out to different people, based on certain conditions

Pros

  • Easy to use form editor with lots of flexibility and options

  • Can set conditions to control whether a question appears in a survey, eg due to response to a previous question

  • Responses to each survey are kept with the survey and can be viewed later

  • Good at handling email notifications and linking one form to another one

  • Responses can be saved in different formats

  • Already tsed at NIDA so local help is available

Cons

  • Separate annual cost

  • Subscription tiers only allows a certain number of forms

  • May not be used by NIDA for much longer

Creating a quick short-term survey with no need for in-depth analysis

Pros

  • Easy learning curve

  • Responses can be sent to other applications like Power Automate (see below)

Cons

  • Only useful for basic survey scenarios

  • Limited question types, and not very flexible

  • You can’t specify in what situations a question will appear

  • Results are only available as an Excel file

Ideal use

Medium to complex surveys where storing and analysing responses is important, and collecting responses across time would be an advantage

Pros

  • Powerful form editor with lots of flexibility and options

  • Can set conditions to control whether a question appears in a survey, eg due to response to a previous question

  • Offers a separate workflow editor, allowing connections to other applications for data flow in and out of Qualtrics and branching of the flow based on different conditions

  • Very comprehensive and flexible analysis of results; Qualtrics can report on any statistically significant relationships between survey responses

  • Account setup in Qualtrics surveys can mirror NIDA departments, allowing control over who can create, manage and view specific surveys

  • Allows groups of users to be created so that surveys can be sent to these groups, and non respondents can be

  • Optional reporting on previous responses by a given user

  • Opportunity for use in complex scenarios and to develop along with NIDA’s long term needs

  • Data is stored in Australia

Cons

  • Medium learning curve

  • Large selection of question types, but with limitations on use of some of these

  • The Excel task in the workflow editor has some unexpected limitations and requirements

  • Offers connections to less applications than Power Automate does

  • New application for NIDA in 2022, so local expertise is limited

Ideal use

Making connections between different applications to share data between them; among applications that can be connected are survey and form tools such as Microsoft Forms

Pros

  • Centres around a workflow editor, allowing connections to other applications for data flow in and out of these applications, and branching of the flow based on different conditions

  • Workflows can include steps where approval is required by humans for the flow to proceed

  • Huge range of applications to connect to, and a large range of specific operations can be performed with these applications once connected

  • Opportunity to allow connecting existing NIDA applications that have limited or no inbuilt option to connect to other application and share data. For example, the ability to connect to older applications that only run on local machines, allowing data to be both entered and extracted

  • Opportunity for use in complex scenarios and to develop along with NIDA’s long term needs

Cons

  • Medium learning curve

  • No current connection to Qualtrics

  • Relatively little use by NIDA in 2022, so local expertise is limited
