Issues with editing bookings in the ASIMUT public interface

Existing bookings can be edited from both the public and advanced interfaces in ASIMUT.

However categories can be applied to bookings and these categories can affect how much access is available when trying to edit existing bookings from the public interface.

If you find that you are unable to edit a booking from the public interface and you are a power user or admin, then try editing the booking from the advanced interface.

 

The following steps can be used to check the category attached to a booking and then check whether this category has been set to affect access to the booking from the public interface.

  1. Log in to the advanced interface in ASIMUT

  2. Search for the existing booking via the View or Arrangements tabs

  3. Click to show the details for the booking

  4. Check what is shown in the Category field

     

Note that there’s no option to specify a category when booking form the public interface, so bookings with categories must have originally been created from the advanced interface:

  1. Check the category’s influence on editing bookings via the public interface

    Now that you know what category has been applied to the booking, you can check to see whether this category affects how bookings can be edited from the public interface:

 

  1. (Log in to the advanced interface in ASIMUT)

  2. Go to Functions > Edit categories

  3. Find the category that is applied to the booking and click on this category

  4. Check what is shown in the right column of the right hand pane for this category.
    Categories that have not been set up to allow editing from the public interface will show the text


”This category cannot be used for creating or editing events in the common/public interface. For setting up the category to be used in the common/public interface, please contact ASIMUT support"

Compare this to what is shown for categories that do allow creating and editing bookings from the public interface - these categories show more options in the right hand column:

As at October 2023, the only categories that allow booking from the public interface like this are:
'Staff (Confirmed)', 'Staff (Tentative)' and 'Student (Confirmed)'.

  1. Other factors that might affect the ability to edit bookings from the public interface

The following paraphrased response from ASIMUT Support mentions other factors that might influence the ability to edit bookings via the public interface:

“Here is what you can check to see whether there is something preventing users from booking using the public interface:

Privilege level
In "Edit persons" you can see what privilege the user has

 

and then you can check whether this user’s level allows the user to edit or cancel events:
Functions > Check access rights



Protected status

The ‘Protected’ field is available for all categories.

If the category is open for public bookings (two columns of settings), then maybe see if the checkbox ‘Protected' is also ticked:


If so, look in Functions > Check access rights if the user is allowed to edit "protected events".

 

In short, there are few access rights that might prevent a user from editing certain bookings, if the user isn't allowed and if the category the user is trying to edit isn't configured for that.

 

There are two event types:

- Normal events which can be created with a public category
- Protected events which can be created with a public category but with the Protected status applied in the category’s settings.

 

For Normal events there are increasing levels of access rights from

‘may edit normal event where owner’ and ‘may cancel normal event where owner’

to

‘may edit normal event where participant’ and ‘may cancel normal event where participant’

up to

‘may edit normal event’ and ‘may cancel normal event’.


Similarly, there are increasing levels of access rights for Protected events from

‘may cancel protected event where owner’

to

‘may edit protected event where participant’ and ‘may cancel protected event where participant’

up to

‘may edit any protected event’ and ‘may cancel any protected event’.
