Process Flow Chart
Once the Job Requisition ( Recruitment Request ) has been submitted to HR by the Hiring Manager the following steps need to happen before hiring an employee for the position.
HR approval step:
Step 1: After submitting the request, HR approves the request, and the Director of HR will have an final approval this will be identical to the step above
Click on Bell Icon ( Notifications ) on Right top side of the page
It opens the My To Do Items , My Notifications, My Checklists as shown in below reference image
In My To Do Items – The request made by the Hiring manager is available for Approve
Step 2: Advertise the role through the NIDA Job board
Once the Request is Approved by HR, the Requisition status is opened.
The role will automatically flow through to the MyNIDA Job board on the NIDA website. The link to this website is here:
After advertising the position on the Job board, the Career Portal Page in myNIDA Links within the requisition will advise the direct links to this requisition. The direct link is the portion between the two ‘ symbols.
These Links can be provided to potential applicants and/or to recruitment websites and will redirect applicants to the MyNIDA applicant portal
The Applicant will be prompted to create a new account to apply for the position
If Applicant has already applied to the other job posted before, they can directly sign in using the previous credentials
Once the Applicant creates the profile and log-in to myNIDA, they should provide a resume and personal information.
Applicant uploads the resume
Applicants should fill in all the information. Once complete, the Applicant will be advised to sign off on the information provided

Once the Applicant fills in the information and submits it, Applicant receives a complete notification.
The hiring manager will be able to see the list of applicants who have applied for the role:
The hiring manager will create the interview panel (outside the system). This group will review applications and shortlist/ reject them as appropriate. Once the shortlist is finalised, the manager can prepare for interviews.
Managers will move the unsuccessful candidate to Applicant Not a Fit in their Job Application Hiring Stage.
When this stage is selected, an email notification is sent to the Applicant advising that they have been unsuccessful.
Shortlisting candidates
Managers will move successful candidates to the Interview Candidate hiring stage. This will notify the hiring manager to advise them to contact HR to prepare for interviews. This will also send a notification to the Applicant informing them that their application was successful.
Once candidates have been shortlisted, HR will contact each candidate to advise them that they have been selected for an interview.
The hiring manager will liaise with the interview panel members to arrange interviews via Zoom or onsite within a Room at NIDA.
The hiring manager and panel will conduct interviews and review applicants and their interview results before agreeing on the preferred candidate.
Once this candidate is selected, the panel will finalise commentary & feedback on the process before notifying HR of the preferred candidate.
The preferred candidate’s hiring stage is updated in MyNIDA from Interview Candidate to Reference Checks. This will notify the hiring manager to advise them to conduct reference checking using an external link. This will also inform the Applicant to update their reference check information within their MyNIDA profile.
Once the Applicant has entered this information, they will advise the hiring manager that this is complete. The hiring manager will advise HR once the Applicant has completed this.
HR or Hiring Manager will contact the references on behalf of the employee. Once reference checks are confirmed, HR or Hiring Manager will advise the Applicant that these are confirmed.
Once reference checks are complete, the Applicant is ready to receive an offer. Before a request is sent, the Applicant must have an active MyNIDA employee account. This process continues in the Offer of Employment process.
