Receiving Files - Externals

Please follow the steps below to create a link that will enable external clients/contacts to upload files to your personal OneDrive.

  • This can be done only through the OneDrive web application on any browser

  • The space that is available on your personal OneDrive is 200GB

Open any browser and login to your Microsoft Office account and navigate to your OneDrive page.

If you require the files to be uploaded to a department Teams folder, navigate to the respective Teams group on SharePoint and follow the same steps.

Creating a File Request Link

  1. Click New > Folder

  2. Give the folder a name.
    This name is only visible to you, not to people who you are requesting files from.

  1. Once the folder is created, click on “three dot” menu and select “Request Files”

     

  1. Enter a short description for the files that you are requesting (e.g: ACT1000 Assignment 1) and click on “Next”. This description will be shown to people on the upload page.

  1. A unique link will be generated which can be either copied (1) or can be sent as an email (2) to recipients you specify in the “To” field. An optional message can be added to the field underneath.
    Click “Done” to continue.

Submitting Files to a File Request

  1. When a user opens the “File Request” link, they will be presented with a page showing the short description that was entered at the time of creation of the File Request.

  1. Clicking on “Select files” will allow the user to select files to submit from their computer.
    Users will also be asked to enter a First/Last name, which will be added to the file names of uploaded files.

  1. Users will be shown a success message once the files have been successfully submitted

  1. You should receive an email notification from SharePoint for each submission

Setting an Expiry for the File Request Link

  1. Click on the “three dot” menu next to the folder which has File Requests enabled.
    Then Select “Manage access”.

     

  2. Click on the “Links” tab
    Then click on the “Cog” icon next to the link labelled “Anyone with file request link can upload”

  1. Click on the date field to select the expiry date from the calendar. Then click “Apply”.

     

  2. Click “Apply”

Disabling/Removing a File Request link

Once you have received all the files that you are expecting, you can remove the file “File Request” link

  1. Click on the “three dot” menu next to the folder which has File Requests enabled.
    Then Select “Manage access”.

     

  2. Click on the “Links” tab
    Then click on the “Bin” icon next to the link labeled “Anyone with file request link can upload”
