Qualtrics dashboards evaluation - Introduction

  1. Accessing Qualtrics dashboards

NIDA’s access to Qualtrics is via https://nida.qualtrics.com/
On staff PCs, this link may be available off the NIDA Bookmarks menu at top left on Chrome, Edge or Firefox browsers.

After logging in, two options are presented.
Click on 'Qualtrics'.

  1. Dashboard options

    Qualtrics displays a dashboard on the Home page when you log in.
    This displays a summary of activity on surveys that you own or that have been shared with you.

    The dashboards currently under evaluation are not this Home dashboard, but rather dashboards built around graphs and tables illustrating the responses provided to questions in individual surveys.

    TotalXM Reports
    NIDA has been set up with the TotalXM Reports dashboard option during the October-December 2024 dashboard evaluation period.

    TotalXM Reports (or ‘TXRs’ from now on) is one of a number of dashboard products offered by Qualtrics such as BX, CX and EX Dashboards, with these others designed for different product suites, and likely more capable and expensive. TXRs may also be one or maybe the only matching option for our older licence plan.

    Content can be added to TXRs via any of 3 methods: text entry, uploaded images or widgets pushed from the Results tabs of Qualtrics surveys.

    Summary of dashboard options available during evaluation period

    There are 4 dashboard options available during the evaluation period.

    - The Results survey tab allows creating a basic dashboard of pages containing widgets and text. These widgets contain graphs or tables that illustrate responses but only from questions within the same survey the Results tab is in. You can provide access to others via downloading or emailing it, and online view-only access might be available via Collaborate but this may be to other tabs in the survey apart from just the Results tab, so may thus allow more access to the survey than desired.
    - TXRs provide the ability to push widgets from the Results tabs of multiple surveys into a basic dashboard comprised of pages containing widgets, text and images. You can provide online access to the dashboard to others via a link that can optionally be password protected. The content in TXRs is static - if updates need to be made to images and widgets, then new versions of these need to be pushed to the TXR then manually placed into the relevant TXR page.

    - The Reports survey tab allows creating a dashboard with more advanced formatting of pages containing content such as widgets, images and text. Widgets can contain graphs or tables that illustrate responses from the same survey the Results tab is in or from responses in other surveys. You can provide access to the dashboard to others via downloaded pdf or online via a link that can optionally be password protected. If updates are made to responses in any survey linked to from the Reports tab, then the related widgets are dynamically updated as well.

    - The Dashboard Viewer option shown in the 2nd screenshot above has been added to our environment by mistake during the evaluation. It is not compatible with TXRs, so should be ignored..

    Suggestions
    If the options available in Reports fill your dashboard needs then
    - you may not need to use the Results tab, either by itself or in combination with TXRs
    - since Reports can pull responses from other surveys, after the evaluation period you could potentially instead create empty surveys purely to use the Reports tab as a method of collecting together responses from one or more surveys into a live dashboard.
    At the moment there appears to be some issue preventing being able to see all available surveys to be able to select questions from them in Reports tab widgets.

    If Reports doesn’t fill your dashboard needs then other Qualtrics dashboard products (or third party products) may be required.

  1. Menu options

Dashboards for the evaluation can be accessed in a number of different ways

a. Creating new dashboards
To use the Results or Reports tab dashboard options, new surveys can be started either in the Projects screen (via the ‘Create project’ button top right).
Alternatively they can be created from the Catalogue screen by clicking on a project template - or more often by just clicking the Survey button.

If the ‘Create button’ is clicked on the Projects screen, the user is taken to Catalogue screen anyway, so new surveys all start on the Catalogue screen.

The process is similar for the creation of TXRs - for the period of the evaluation there is also now a ‘TotalXM Report’ button on the Catalogue screen to begin the TXR.

 

b. Accessing existing dashboards
Existing surveys can be searched on the Projects screen.
Existing TXRs are also displayed on the Projects page once created.
(This provides more context to why the Projects screen is called the Projects screen - it’s the place where you see different types of content that you have been working on as a project, or projects that others have shared with you, whether these are surveys or TXRs.)

After you create TXRs, you can filter to show just these among the surveys and other content in your Projects screen
